Prospena ("Prospena", "we", "us") provides AI-powered LinkedIn outbound campaigns that identify buying intent, run personalised outreach, and book qualified meetings for our clients ("Client", "you"). This policy explains what information we collect, how we use it, and the choices available to you when you use our website, our dashboard, or the outreach services we run on your behalf.
This is a general-purpose policy. It is not a substitute for advice from a qualified lawyer, and you should have it reviewed before relying on it for compliance purposes in your jurisdiction.
1. Information we collect
We collect a few different categories of information:
- Account information. Name, work email, company, and billing details you give us when you sign up for Prospena or book a call with our team.
- Campaign and prospect data. Information related to the outbound campaigns we run for you, including target account lists, LinkedIn profile data of prospects you or we identify, message content, and reply/meeting outcomes.
- Usage data. Log data, device and browser information, and analytics collected when you visit prospena.com or use our dashboard.
- Communications. Records of emails, calls, and messages between you and our team.
2. How we use this information
We use the information above to:
- Operate, maintain, and improve the outbound campaigns we run for you.
- Identify buying intent and prioritise prospects worth reaching out to.
- Send you meeting notifications, pipeline reports, and account updates.
- Provide customer support and respond to your requests.
- Bill for services and prevent fraud or misuse of our platform.
- Meet legal, regulatory, and contractual obligations.
3. LinkedIn and third-party platforms
Our outreach campaigns run on LinkedIn and, where applicable, other professional networks. Any data we process about your prospects (names, titles, companies, and public profile details) is sourced from what those individuals have made visible on their professional profiles, or from data providers you have separately authorised us to use.
You are responsible for making sure your use of Prospena, and the LinkedIn account(s) connected to your campaigns, complies with LinkedIn's own User Agreement and any applicable outreach or marketing laws in your jurisdiction (for example CAN-SPAM, CASL, or equivalent rules on unsolicited business communications). We are not affiliated with, endorsed by, or sponsored by LinkedIn.
4. How we share information
We do not sell your personal information. We share it only with:
- Sub-processors and vendors who help us run the service (for example cloud hosting, calendar scheduling, and email delivery providers), under confidentiality obligations.
- Professional advisors, such as accountants or lawyers, when needed.
- Law enforcement or regulators when required by law.
- A successor entity if Prospena is involved in a merger, acquisition, or sale of assets, subject to the same commitments in this policy.
5. Data retention
We keep campaign and prospect data for as long as your account is active, and for a reasonable period afterward to meet legal, accounting, or reporting requirements. Account information is retained until you ask us to delete it, subject to records we are required to keep by law.
6. Security
We use industry-standard technical and organisational measures, including encryption in transit, access controls, and least-privilege permissions, to protect information against unauthorised access, alteration, or loss. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your rights
Depending on where you're located, you may have the right to access, correct, export, or delete personal information we hold about you, and to object to or restrict certain uses of it. This includes rights available under the GDPR (for individuals in the EU and UK) and the CCPA/CPRA (for California residents). To exercise any of these rights, contact us using the details in Section 11.
If a prospect you have contacted through Prospena asks to stop receiving outreach, we will honour that request and remove them from future campaigns.
8. Cookies
Our website uses a small number of cookies to keep you signed in, remember your preferences, and understand how visitors use our site. You can control cookies through your browser settings; disabling them may affect some site functionality.
9. Children's privacy
Prospena is a business-to-business service and is not directed at, or knowingly used by, children under 16. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this policy from time to time. If we make material changes, we will update the effective date at the top of this page and, where appropriate, notify you directly.
